A departing employee needs a coordinated handover.
Plan access removal, business information handover and license changes together when someone leaves your organization.

Published October 14, 2026.
An employee departure touches more than a mailbox. The business may need to preserve information, transfer responsibilities and remove access at a specific time. Start with an authorized request and a clear owner for the decisions. A rushed deletion can create avoidable problems for both security and daily operations.
Agree the business requirements
Microsoft’s guidance for former employees covers access, email, OneDrive information and licensing as separate steps. Your organization should decide who needs the work information and what must be retained before making irreversible changes. Legal or retention requirements need appropriate advice and should be identified early.
Coordinate the timing
Make the intended effective time explicit, including the time zone where relevant. Identify the systems beyond Microsoft 365, such as shared business passwords, remote access and application accounts. The person approving the request should understand the dependencies rather than assuming one account change reaches every service automatically.
Verify the handover
After the approved work, confirm what was disabled, transferred or retained and what remains outstanding. Keep an evidence based completion record. If a vendor manages a separate application, obtain its confirmation rather than treating a sent request as proof that the access was removed.
A practical next step
Use an authorized request with a clear effective time.
List accounts and information beyond the main mailbox.
Confirm completed actions and remaining dependencies separately.
