A smoother first day for your next hire
A little preparation helps a new colleague feel welcome, with the right email, files and tools ready for their role.

A new colleague has enough to take in on their first day. Finding out who owns the shared mailbox or which password opens a business application should not be part of the welcome.
Technology preparation starts with a simple question for the person managing the role: what will this person need to do? That answer is more useful than copying every permission from another account.
Prepare the work, then the access.
Make a list of the applications, shared files and email arrangements the role needs. Include the computer, any equipment for working remotely and the person who approves access. Tell your technology provider the start date and allow time to confirm licenses, availability and setup work.
Use an individual account for the new colleague. Shared passwords make it harder to control access when roles change. Where an application supports it, grant access through that person’s own account and use the authentication protections appropriate to the service.
Give the first day a simple check.
Can they sign in and complete the required authentication?
Can they send and receive business email?
Can they reach the files and applications needed for their work?
Do they know how to request help and report a suspicious message?
Has someone explained where business information should be saved?
Leave room for the role to change.
Review the access after the first few weeks. A new starter may discover that something is missing or that a permission is no longer needed. Keep the record current rather than letting exceptions become the permanent setup.
When someone moves into a different role or leaves the business, coordinate account access with the information handover. Decide who needs their files and mailbox before removing accounts or licenses. Microsoft documents these as separate steps in its employee departure guidance.
We can help with the details.
DeltaBind can help with agreed Microsoft 365 account setup and access changes. Tell us the role, start date and applications involved. We will confirm the required licenses, service coverage and any separately quoted work before getting started.
