Desktop printer ready for everyday printing

Start with the right checks.

Offline describes a connection problem from the computer’s point of view. The printer may still be powered on. A quick comparison between the printer display, another device and the Windows queue can narrow down what is failing.

What to do next.

  1. Check the printer’s own screen for paper, ink, jam or connection messages. Follow the manufacturer’s instructions for physical problems.

  2. Confirm that a wireless printer and computer are on the intended network. For USB or wired connections, check the cable and relevant port.

  3. In Windows 11, open Settings, Bluetooth & devices, Printers & scanners. Select the intended printer and inspect its print queue.

  4. Cancel a stuck job you own, then try a small test page. If it remains offline, use Microsoft’s printer troubleshooter in Get Help.

Check the result.

Print a harmless one page document from the application you actually need. Confirm that it reaches the correct physical printer rather than a similarly named saved device.

Stop and get help if…

Several people are affected, the network printer has an unfamiliar address or the problem returns after basic checks. Avoid factory resetting a shared printer, installing a random driver or clearing everyone’s queued work.
