Desktop printer ready for everyday printing

Start with the right checks.

An unexpected printout may come from the selected device or page setup rather than damaged spreadsheet data. Start in Print Preview.

What to do next.

  1. Open File, Print in Excel and inspect the selected printer.

  2. Choose the intended printer and review the visible page preview.

  3. Check the print selection, paper size, orientation and scaling without altering formulas or data.

  4. Print one harmless page before sending the whole workbook.

Check the result.

Confirm the physical destination and that columns, headings and page boundaries look right. Keep the original workbook while testing.

Stop and get help if…

The printer is unavailable, page setup differs across computers or the workbook contains business sensitive information. Get help before exporting or sending it to an outside print service.
